Business Challenges
Before working with us, Aventus Clinic faced several operational inefficiencies within its GoHighLevel setup. Funnel tracking was not clear, automation processes were not regular, and lead management systems were not properly organized to facilitate growth, visibility, and accurate communication with patients.
- Broken Funnel Tracking: The clinic was also failing to track patient journeys properly, as there was an issue of incomplete funnel tracking within GoHighLevel. The most important actions were not documented in a proper way, which resulted in vague performance insights and marketing optimization decisions.
- Lead Source Confusion: There was no clear source categorization of incoming patient leads. - SMS & Email Delivery Gaps: SMS and email notifications were not automatic, and some patients did not receive follow-ups and confirmations. This undermined engagement, reduced appointment attendance, and caused the administrative team to do extra manual work.
- Manual Follow-Up Processes: Employees were heavily relying on manual contact to work on leads and verify appointments. In the absence of automated workflows, precious time was wasted, response times were slowed, and prospective patients lost interest before they could schedule consultations.
Solutions
In order to deal with these gaps in the operation, we re-designed and re-optimized the Aventus Clinic GoHighLevel system on the basis of a ground-up design. The introduction of superior tracking, automation, and structuring of CRM enhanced the accuracy of data, efficiency in communication, and general performance with regard to patient conversion.
- Advanced Funnel Tracking: We applied GoHighLevel tracking improvements and set up an effective funnel event and reporting dashboard. This offered a complete insight into patient experiences, and it allowed us to make marketing decisions based on data and enhance overall campaign performance by 20 percent.
- Clear Lead Attribution: We implemented formal lead source monitoring in GoHighLevel, and all contacts were automatically assigned a campaign source. This enabled the clinic to accurately measure the performance of the channels and strategically spend on marketing budgets.
- Structured CRM Pipelines: We have already redesigned the CRM pipeline with stages that are well-defined, automation triggers, and movement logic. This systematic process of work enhanced the internal clarity, minimized the number of errors, and guaranteed the ability to track all the interactions with patients and their booking status.
- Reliable Communication Automation: In GoHighLevel, we automated SMS and email, so the confirmation and follow-ups started regularly, as well as the reminders. This enhanced patient management, decreased missed appointments, and minimized administrative workload.
