Sheffield Renewables is a UK-based sustainable energy provider that provides EV charger installation, solar, and sustainable energy services to customers and business owners. They are keen on ensuring that the adoption of clean energy is easy, affordable, and reliable for clients.

They approached us to rebuild their EV Remote Survey after repeated technical failures disrupted submissions, data syncing, and automations. They needed a stable, integrated, and user-friendly solution that aligned with their CRM processes.

Business Challenges

Sheffield Renewables had a number of operational and technical challenges to work with before our collaboration, which had a direct impact on user experience, data reliability, and the efficiency of workflows. Their current EV Remote Survey could not capture the correct information, ensure stability, and automate the processes, which posed challenges to customers and internal teams.

    • Survey System Instability: The existing GoHighLevel survey kept crashing when submitting a survey, which was frustrating to the user and led to an incomplete application. This instability impacted the lead qualification, lessened conversion opportunities, and provided more manual work to the internal staff.
    • Unreliable Photo Uploads: In the existing survey structure, photo postings would not work or could go missing, restricting the sales team’s ability to take a proper look at the location of EV chargers. Such inconsistency added to the back-and-forth communication and delayed the assessment process.
    • Broken Data Syncing: Data input in the form of surveys did not always become available on GoHighLevel, resulting in the lack of contact data, incomplete fields, and invalid CRM records. This led to poor tracking and a reduction in the effectiveness of nurturing sequences.
    • No Structured Tag Tracking: The workflow was not properly tagged and categorized before, which made it hard to organize the leads and activate automations in order to determine the survey stage of a customer. This decreased the visibility of the whole qualification pipeline.
    • Disrupted Sales Automations: Previous GoHighLevel automations would collapse regularly as a result of unpredictable survey behaviour. There was a failure to deliver messages that were not permissioned correctly or at all, which left loopholes in communication with customers and delayed the sales process.

Solutions

In order to overcome these difficulties, we implemented a structured, stability-oriented methodology that reengineered the survey, starting fresh. We made our solutions more reliable, improved data flow, and reinforced the performance of automation in order to provide a more intuitive and smoother experience to users and an easier workflow to the team of Sheffield Renewables.

    • Fully Rebuilt Survey: The entire EV Remote Survey was recreated on the site with Gravity Forms in the form of a stable and multi-step format, but it reflects the original flow without crashes and enhances the user experience on all devices.
    • Robust Image Handling: We also applied trusted image postings, which take the form of URLs. These links are directed to GoHighLevel contact records, and thus, the sales team can view photos stored on the site without relying on faulty in-survey storage.
    • Direct CRM Integration: All form submissions have automatically created or updated GoHighLevel contacts via an inbound webhook. All the fields are correctly mapped and provide complete, accurate, and real-time data within the CRM.
    • Organized Tag Framework: We came up with a clear tagging system that puts identification specific to the survey on the submission. This has allowed it to have more segmentation, tracking, and automation management of the entire customer lifecycle.
    • Automation-Safe Architecture: The new environment maintains all the previous GoHighLevel configurations and makes all the automations reliable. Customer communications and follow-ups on sales are an end-to-end process with a running flow of data and error-free submission.
